Office Manager (Part-Time / Full-Time)
📍 Location: The Family Birth Center of Naples – 2930 Immokalee Rd, Naples, FL
📅 Schedule: 3–5 days/week Monday/Wednesday/Friday

About the Role
We’re seeking a reliable, compassionate, and highly organized Office Manager to join our team. You’ll support both patient-facing and behind-the-scenes operations — from scheduling and documentation to compliance tracking, billing coordination, and vendor communication.
This is a high-impact position in a warm, family-centered care environment. If you’re tech-savvy, detail-oriented, and comfortable juggling multiple responsibilities, we’d love to hear from you.

Key Responsibilities
Patient & Front Desk Support
Answer and route phone calls professionally
Greet and check in patients and visitors
Schedule appointments, tours, and follow-ups
Send welcome emails and educational materials
Answer patient questions, including financial and billing inquiries
Operations & Compliance
Organize and document quarterly staff meetings
Track and coordinate inspections (fire, electrical, extinguishers)
Maintain employee handbook and track staff certifications
Coordinate facility repairs and vendor access
Update policies and procedures with clinical leadership
Maintain contracts (consulting OB, malpractice, CAQH)
Billing & Insurance Support
Liaise with third-party biller
Verify insurance benefits and eligibility
Submit and appeal claims as needed
Maintain accurate payment schedules and contracts
Assist with insurance contract negotiation and documentation
Technology & Systems
Use Microsoft 365 daily (Outlook, Word, Excel, Teams, SharePoint)
Perform light IT troubleshooting (printers, Wi-Fi, logins)
Qualifications
Strong reliability and consistent attendance
Excellent written and verbal communication skills
Organized and proactive, able to manage multiple tasks
Proficient in Microsoft 365 (especially Outlook, Excel, Word)
Comfortable with light IT troubleshooting
Previous experience in medical office admin or customer service is a plus
Passion for maternal health and birth center values is a bonus
